NEASIS Board Meeting Minutes for January 18, 2000

I. Board Meeting Minutes

We need to bring minutes on the web site up to date. Latest posted there is March 99. Pat will contact Peter to see if Ginnie was sent all the intervening minutes. We also need to clarify the procedure for submitting minutes to HQ

II. Program Committee Update

Open Source Program. Reviewed evaluations from the program, which were very positive. Both topic and location (at Yale) were well received. The Q&A session of the program was very lively. Nicole is following up on attendees who are interested in working on the program committee. Four are joining, making a current total of nine program committee members. Jonah Jenkins is making MP3s of the audio tape for the program. Beata will make several cassette tape copies, and the program committee is looking into making some CD-ROM copies, then announcing them for sale.

Upcoming Programs.

III. Membership.

No updates as nothing new has been received from HQ since the last meeting. Beata sends a welcome letter from herself to new members. Beata will send Michael a copy to see if it might be beneficial for him to create one, as well, from the chapter Chair. Action Item: Beata will send Michael a copy of her welcome letter.

IV. Student Paper Award

We discussed ways to distribute the announcement in order to best drum up more submissions. Beata will contact Moe or Paul at Simmons about distributing it. The timing will be: announcement sent by early Feb., submissions due by March 10, decision made on award winner by late March.

V. Simmons Student Chapter Update

Moe Blaustein is the current President of the Simmons Student Chapter. In the last year they have held a program on the Internet2, which was very well attended, and organized a field trip to the MIT Media Lab.

VI. Other Student Chapters

Michael has contacted the chair at URI and the faculty advisor there: Yan Ma. He and Josephine Shea are working on Southern Connecticut State University. Syracuse is working on getting there student chapter organized.

VII. Webmaster Report

Ginnie wasn't able to attend, so no news from her part. Leslie was also unable to attend, so we don't know the progress on acquiring cgi scripts from HQ. A suggestion was made to use the SLA Information Technology Division model for maintaining our web site. They use a team, where each person only has primary responsibility for one quarter of the year. Other members are only called in to action if something unusual comes up, but all are keeping an eye on the site.

IX. Newsletter Update

Moe has decided he does not have time to edit the newsletter, but has agreed to write a technology column for it. We need an editor again. For now, we will use Moe's column, a blurb written up by Nicole, and other pieces that are ready, and see if John is willing to assemble them for this issue.

X. ASIS Summit in Boston

Michael suggested we do a web site of local resources and information for attendees to the ASIS Institute in April. Paul and Michael will put out a query for volunteers on the Simmons listserv. It was also suggested that we might want to sponsor a table at the event with membership information and flyers on upcoming programs. We also wondered if Simmons student volunteers might be needed at the event, in exchange for some sort of assistance for attending the program.

XI. Chapter Name Change

Michael suggested the idea of changing the chapter's name to North East Chapter of ASIS. His vision is to reach out to upstate New York and Eastern Canada which no longer have chapters of their own. Five library schools exist within these two areas. The board members agreed with this concept.
