NEASIST Board Minutes, May 23, 2001

Present: Nicole Hennig (Chair), Jonah Jenkins, Beata Panagopoulos, Michelle Knight, Pat Flanagan (minutes)


I. Minutes from the April meeting were approved with slight changes.

II. Reports:

Membership - Beata

Member lists were received from HQ for Canada and NY members.

New members list were sent to Darcy and are now on the website. There were 19 renewals, 16 dropped, and 5 new members, for a total of 275 current members.


Program Committee - Jonah

Awards Dinner Report: 30 attended out of 32 registered. All expenses have not yet come in. Feedback was positive about holding the dinner after the change to daylight savings time because of the view possible from the MIT Faculty Club. May was discussed as a possibly good time for future award dinners, also because this would allow students who want to contribute papers to the Student Travel Award a little more time to do so.

Virtual Event: Howard Besser (west coast speaker) has seen the film of Richard Larson (east coast speaker), but hasn't yet been able to have his own done. This is pushing the date for the event forward to around September. Jonah will check with the University of Southern California to be sure this won't be a difficult time for them to offer us use of their WebCt system. The filming people at UCLA are in touch with CAES staff so the two films should have compatible look and feel. The Program Committee is working on ideas for publicity and archiving. In order to submit films to the Research Channel, they must come from MIT's Information Systems head, Vijay Kumar. Jonah will contact him.

Action Item: Jonah will contact Vijay Kumar about submitting the films to the Research Channel.

Information Architecture program: The Program Committee was thinking of September for this event, but the board encouraged pushing the date further into fall, perhaps to December. Reasons: Gives some cushion of time between the two fall events, makes it somewhat easier for Simmons students to participate, the timing of the last December event seemed a good time for people attending as it comes at the end of term when things start to slow down. The event will be held at the Tang building at MIT. Lunch will not be provided; an area restaurant list will be. Speakers are currently being identified. Candy Schwartz may be able to help publicize the event through her classes.

Treasurer - via email from Vince

Estimated checking account balance is $4800, reflecting payments made to Lydia Ievins for the membership database work and to Jean Camp for her talk at the awards dinner.

Vince has been communicating with PayPal about setting up access via our web pages. They provide a "button factory" function for creating, then cutting and pasting html for our page. The button would provide secure access for paying registration fees online. People paying this way would need to have a PayPal account, or would be asked to sign up for one as they paid.

Student Chapter - Michelle

The student chapter is working on a possible summer workshop day. Other business has to do with filling offices that are being vacated by graduating students. New officers will be elected in the fall.

III. Membership database demo - deferred to a future meeting as we had access to the wrong version of the software.

-Jonah will contact Vijay Kumar about submitting the films to the Research Channel.

-Nicole will experiment with the logo and give it to Darcy to add to the web site.
-Vince and Jonah will work on how PayPal signup can be done on the web.
-Beata will handle the mailing to invite upstate NY and eastern Canada members to join NEASIS
-Louisa/Beata will contact non-NEASIS members from the Wireless program about membership.
-Michael will find out what the status of the newsletter scanning project is.
-Michael will send Jonah a list of local IA attendees.
-Michael will research the costs of some speakers he knows of.
