NEASIS&T Board Minutes, February 12, 2003

Present: Michael Jimenez (Chapter Chair), Jonah Jenkins (Past Chapter Chair), Margret Branschofsky (Membership Chair),Maggie Byer (Secretary), Dorothy Barr (Student Chapter Liaison).

Order of Business:

1. Minutes from the January meeting were approved.

2. Reports:

  • National ASIST DASER and Providence 2004 - Michael Jimenez
    • We will try to get Nina Davis-Willis, also on program committee, to lead the Providence 2004 task force. We are committed to sharing a hospitality suite with LACASIST at the October 2003 meeting in Long Beach. Program committee will give logistic and other support to DASER summit, NEASIST is making an up-front financial commitment to co-sponsor the summit and share in any “profits.”
    • Action Items:
      • Recruit Nina Davis-Willis as Providence task force leader
    • Previous Action items:
      • Book hospitality suite at October 2003 Annual Meeting to promote 2004 Annual Meeting, possibly sharing cost with LA chapter.
      • Create web site, coordinated through national ASIST site, to promote 2004 Providence Annual Meeting and highlight area’s tourist destinations, transport, recreation, dining, hotels, etc.
      • Explore possibilities for an off-site destination dinner during the 2004 Providence Annual Meeting, possibly at Newport mansions.
      • Explore free gifts available from Providence tourism bureau.
      • Interact with national Board members Michael Leach and Beverly Colby, past President Candy Schwartz to locate extra money in national ASIST “Special Projects” coffers that NEASIST can use to fund promotion of Providence 2004 Annual Meeting.
      • Publicize upcoming Providence Annual Meeting with message on NEASIST listserv.
  • Membership– Margret
    • Margret received the Board’s congratulations on her January D-Lib article at http://www.dlib.org/dlib/january03/smith/01smith.html
    • Membership total ~78 from October update. Olin librarian may join.
    • Margret, through the national membership committee, has requested monthly rather than tri monthly membership updates. There may be additional less accessible data fields in membership database that identify members’ specific skills.
    • Action item:
      • Jonah and Margret will demonstrate the database at the March 12th board meeting, which will be held in Barker Engineering Library.
    • Previous Action item:
      • Margret will email the program committee membership list for volunteers to contact Simmons members graduating and pursue members who aren’t renewing.
  • Program – Darcy absent
    • Spring program will probably be May 5. We will do more membership marketing at spring program.
    • Student travel award [given at annual spring dinner]: jury volunteers should contact Beata Panagopoulos beata_Panagopoulos@harvard.edu
    • Jonah has archived the content from the December virtual program
      • Dialog threads are captured in single documents in logical nested format, question/responses
      • Moderators provide useful complete summaries without editorial opinion
      • All original presentations are collected on a CD-ROM; we can burn copies for whoever wants them
      • The site itself can be reconstituted on the national ASIST server
      • Individual files can be emailed on request
    • Action items:
      • Jonah will write a paper about the December virtual program possibly with assistance from facilitator Linda McCann.
      • NEASIST website update ongoing
      • Beata will coordinate student travel award jury volunteers
      • Program committee will devise and implement membership marketing for spring program
    • Previous Action items:
      • Program committee will institute an annual call to recruit new members and urge inactive members to retire.
  • Treasurer– Vince absent, no current report
  • Student chapter – Dorothy
    • Events: Student ASIST will meet Thursday February 13th to plan programs, possibly in collaboration with student ALA and SLA chapters
      • Information technology for media specialists
      • Non-traditional careers
      • D-space
    • Action items :
      • Margret will help student ASIST finding speakers for the D-space program
      • Margret will email the program committee membership list for volunteers to contact Simmons members graduating and pursue members who aren’t renewing.
    • Previous action item:
      • The Board will sponsor its annual student paper award given at the NEASIST Annual Meeting and dinner, in late April or second week in May to avoid conflict with NEASIST spring program.
